Appendix 1 – How to write a report

Report writing is the most intricate form of written communication and requires a high degree of skill.  It is important to ensure that your reports are effective in imparting the information you wish to impart.

Planning

Before putting pen to paper, you should consider the following:

  1. Who is the report for?
  2. What information is required?
  3. For what purpose is the information to be used?
  4. Are recommendations required?
  5. What time span and budget are available to produce the report?

Analysis

It is usually best to make your analysis objective.  It is sometimes necessary to make subjective judgements, if so, you should make sure that you clearly indicate where this is the case.  For example, you might use informal interviews to gain information; this is a valid method of data collection.  However, when you come to interpret what has been said, you should indicate that your conclusions are inevitably subject to your own values and beliefs.

Writing style

Each individual has his or her own writing style.  Style can include the way sentences are structured and the phraseology used.  Some writing styles are more effective in reports than others. General points to remember about good report writing style include the following:

  • Short sentences are easier to understand; they reduce the potential for ambiguity and make reading easier.
  • It is best to avoid emotional and value judgements.
  • You should avoid abbreviated forms of language (which may seem inappropriately informal).
  • Only use technical jargon if the report is intended for use within an organisation where this jargon is in common usage.
  • It is usual to de-personalise language and avoid the use of ‘I’ and ‘we’.

Layout

Reports are presented in a formal layout.  Ensure that essential points are highlighted by the use of emboldening, Italics, type size, spacing or underlining.  Section paragraphs should be numbered.  This helps users to find specific sections and makes it easier for a group of people to discuss the contents.  Sections should be clearly headed and the use of sub-section headings is recommended.

A basic report format is given below:

Title pageTitle/subject of report, author, recipient and dateThe title should be descriptive of the contents, not poetic or ambiguous
Contents

List of contents with page and paragraph numbersThis must be clear and concise; the aim is to enable sections to be found quickly
